Test Proctoring

The Reference librarian performs test proctoring of written and online tests. There is no charge for this service, but there is a charge to cover mailing costs as needed. The Library cannot provide same-day proctoring service, and services depend on the availability of personnel, facilities, and technology to do so. It is the responsibility of the student to contact the reference librarian at library@boylepublib.org to schedule a date and time for an exam.

Proctoring Guidelines

Boyle County Public Library provides limited proctoring services. The guidelines below indicate the extent of these services to be approved by a given educational institution and may change at the library’s discretion.

  • Boyle County Public Library can proctor written or online exams.
  • An available librarian will administer the test, but a time must be scheduled at least one week in advance with both the librarian's and the student’s availability.
  • If an appointment is scheduled, the librarian will be available to provide continuous monitoring.
  • The library must be contacted by both the student and the educational institution for arrangement; the library will not proctor an exam that the student brings themselves.
  • There is no guarantee that a private room will be available. The library has two study rooms if a private room and/or computer is needed, but most proctored exams take place in the Reading Room.
  • Exams must be completed one hour before the library closes.
  • It is the responsibility of the student to arrange for the proctored exam with both the Reference Librarian and the educational institution. The library can receive exams as an email attachment or via US Mail.
    • The student must pay a flat fee of $2.50 for a physical exam to be mailed to the educational institution. This covers the cost of postage and envelope.
  • The library will not provide materials for students to take the test beyond what has been provided by the educational institution. Students are responsible for bringing their own pens, pencils, calculators, etc.
  • The library cannot download software onto library computers or grade exams.
  • The library cannot allow students to complete an exam after the library’s closing time.
  • With regard to the required proctor information for some tests, the proctor will provide the necessary library and proctor information, excluding personally identifiable information.
  • The library reserves the right to refuse service if the student or educational institution fails to comply with our guidelines or patron behavior policy.

Proctoring Procedure

Proctoring guidelines can vary from institution to institution, but generally,

  • Students will arrive for their scheduled exam time and report to the Reference Librarian.
  • The Reference Librarian will check the student’s I.D. to confirm identity.
  • The Reference Librarian and student will go to the library’s Reading Room, a section of the library with a quiet space. If the student needs to use a public computer that does not require separate software, the Reference Librarian may reserve a private study room.
  • The Reference Librarian will keep the remainder of the student’s belongings separate from them during the course of the exam. This includes bags, phones, smart watches, etc. The instructions from the educational institution may specify what the student is allowed to have during the exam. These belongings will remain with the Reference Librarian until the online exam is completed or the physical exam is returned to the librarian.
  • The Reference Librarian will sign the necessary documentation from the educational institution as it aligns with the duties they are able to perform.
  • If the student is taking a physical exam, the library will retain any kept materials for 30 days. However, if the educational institution requires all materials to be returned, the library will NOT keep copies of the exam once they have been returned to the institution, nor is the library responsible for the exam once it has left the building. For the cost of shipping, the library can mail the exam to the institution via normal US Mail delivery according to the directions of the educational institution.
  • The student should notify the library at least 48 hours in advance if they need to cancel or change their appointment.
